6 ways you can use WhatsApp for your Estate Agency

WhatsApp has transformed communications in our personal lives and now, the WhatsApp API is enabling estate and letting agents to take advantage of the channel to greatly improve business-to-consumer communications.

WhatsApp on an estate agent mobile phone is very different to a Branch WhatsApp System, so just because you communicate with customers from your mobile, don’t think for one moment that they are the same!

Here is a quick video explaining how you can integrate your Branch WhatsApp accounts into websites, portal leads & CRM’s using Stitch AI.

There are 2 main issues with using the standard WhatsApp for Business on your mobile device:

  1. Visibility. Chats are stuck in silos, and the team are unaware of each other’s chats. By having a shared inbox, all staff has access to not only send/receive chats, but they can also see the chats that their colleagues are having, and respond in their absence. They can also use analytics/reports to start measuring outbound activity.
  2. Compliance. Having all these conversations on individual mobiles is a compliance nightmare. Centralising WhatsApp into one dashboard ensures the agent is able to adhere to GDPR policies.

Here is what you can do by using a proper WhatsApp API System such as Stitch:

1. Enable customers to start a chat with your estate agents & service teams from your website

WhatsApp Chat

Over 50% of consumers would choose to work with a company that they reach out to via WhatsApp. By placing an appropriate WhatsApp call to action on your website, you will make it easier for potential customers to reach out to your brand.

The asynchronous nature of WhatsApp, alongside bots to assist with prequalification, makes this manageable for most agents. This also means estate agents can ditch expensive outsourced 3rd parties to answer their live chat.In the same way, you advertise your email or phone number, you can now enable your customers to reach out to you on WhatsApp.

2. Turn waiting callers into WhatsApp chats

Struggling to answer the phones at busy/peak times? How much could a lost call cost your business? Voice2WhatsApp turns waiting callers into WhatsApp chats to reduce the impact of unanswered calls.

From a consumer perspective, an unanswered call is incredibly frustrating. Worse still, it’s the impression left about your brand service. Until now, the only way to address this common scenario is to pay for 3rd party message taking services from the likes of MoneyPenny. But, this comes at a high cost, and you’ve still got the headache of getting back in contact with the customer.

With WhatsApp, we can automatically take the customer from a phone call (in which they start by calling your landline number) and engage them with your team via the Branch WhatsApp solution. Apart from saving thousands of dollars in third-party fees, the actual communication process to pick up conversions with

3. Automate your portal leads into a WhatsApp chatbot

WhatsApp ChatBot example

Before handing a lead over to your sales & lettings teams in the branch you can automate the process using ChatsApp chatbot.

This could drive efficiency with 95% open and read rates to make the most out of all your leads.

I’m sure we’ve all seen the stats about the number of leads that don’t get followed up by Estate Agents. Can Stitch help you better manage your leads and speed up the communication process? How? Well, our data tells us that 90% of your customers are on WhatsApp.

By automating a WhatsApp message within seconds of submitting a property enquiry via ANY portal, we can instantly respond to your prospect. With our automation flows, we can pre-qualify, and instantly identify if they have a property they want to take to market or are perhaps keen to arrange a mortgage consultation.

The conversational bot is there to capture, question and hand off to your teams, so the personal touch is maintained. The way you respond to your leads will stand head and shoulders above your competitors.

4. Use QR codes to generate more valuation leads and make it easy for customers to reach out to you.

Over the last few years, QR codes have seen a revival. According to Blue Bite, the number of QR scans increased by 26% between 2018 and 2019. They’re still more popular than they’ve ever been, hitting 28% more people in the same amount of time.

Why the increase in usage? Simple, more and more smartphones support QR integration from their native cameras, rather than specific apps.

This is great for estate agents. QR codes have a distinct advantage in that they work equally well in the virtual and physical worlds.

You don’t have to put them on your website to use them. You can print them out and hang them up if you have a physical presence, enabling you to turn physical foot traffic into long-term connections.

You can use them on boards, printed media etc to expand the contact networks beyond what you thought was possible. Plus, you have the added benefit of being able to track your conversions from these lead sources.

QR codes are particularly useful for starting sales and customer service conversations on WhatsApp. Pre-filled messages are a useful function. By allowing you to insert pre-filled messages inside your WhatsApp QR codes, WhatsApp makes it easier to start conversations.

5. Send (bulk) templated WhatsApp messages to follow up

The first 4 examples are all based on driving inbound chats. However, there is a way to use WhatsApp to help with all aspects of customer communication. Until now, most agents would call someone, and only about 20% of the time would the call be answered.

For those that don’t answer, a voicemail message is typically left (who honestly uses their voicemail these days?!), then maybe an email follow up. This is the communication problem faced by today’s estate agents. That is why so many leads don’t get followed up. So why is this?

About 75% of consumers TURN OFF notifications on their mobile phone for their personal email accounts. Why? They don’t want their phone notifying them of every bit of spam that hits their inbox.

But WhatsApp has a 95% open and read rate (plus 90% + of your customers are on WhatsApp). So, when you call someone, this is, without doubt, the best way to communicate with your customers/prospects.

Arranging viewings, obtaining viewing feedback, following up those valuation leads……Consumers don’t live in email – it is simply an evolution of the letter. By connecting your branches to consumers via the WhatsApp API, you’ll stay compliant with WhatsApp’s complicated terms of usage and delight your customers.

Put it this way, in your personal life, when you call a friend, and they don’t answer the call? What is the next thing you do? You message them, don’t you! So, it should be no different when trying to communicate with your customers.

6. WhatsApp & CRM Integration

For estate agents who live inside their CRM, WhatsApp should sit exactly where their team already works, not in a separate tab on someone’s phone. That is why our Chrome extension embeds WhatsApp directly into most leading agency CRMs, allowing negotiators to click to chat from a contact record, scrape numbers on screen for quick outreach, view full conversation history, and reply without ever leaving the CRM.

Depending on the system, functionality ranges from simple click to chat and inbox access, through to automatically logging WhatsApp conversations into the contact’s activity timeline. The result is tighter processes, cleaner data and full visibility for management, while keeping conversations compliant, centralised and attached to the right record rather than lost on personal devices.

7. Put Lead Management on Autopilot with AI

AI is a buzzword that gets thrown around a lot, but when applied effectively, it can transform how estate agents manage leads and client interactions.

The key is striking the right balance—automating repetitive tasks while preserving the personal relationships that set great agents apart.

Instant Engagement, Seamless Handover

Imagine responding to every new lead within seconds. AI can instantly qualify, summarize, and hand over leads to your team, ensuring they pick up the conversation in the same chat thread the customer started with your brand.

For sales, AI ensures that every valuation opportunity and mortgage referral is captured. In lettings, AI can filter applicants, only passing along those who provide the necessary details—saving your team from endless back-and-forth conversations.

Beyond Lead Qualification

AI’s role in estate agency extends beyond just sorting leads. It can automate and streamline other critical processes, such as:

  • Capturing Viewing Feedback – AI bots can collect and summarise feedback from property viewings, allowing agents to quickly relay insights to vendors.
  • Smart Follow-ups – AI can nudge potential buyers or tenants with relevant updates, keeping them engaged without overwhelming your team.
  • Data-Driven Insights – AI can analyse interactions to help agents prioritise the hottest leads and optimise follow-up strategies.

Win More Clients, Waste Less Time

By serving enquiries instantly and handling low-level interactions, AI allows your team to focus on what they do best—building relationships and closing deals. In a competitive market, standing out is about speed, efficiency, and personal service. AI helps you achieve all three.
